CWHBA Registration Requirements:

Enter my mare for breeding? – All mares must be entered into the CWHBA Stud Book and have a DNA profile in order  for their offspring to be registered.

1. You must be or become a current Annual Member

2.a) For mares already inspected/approved with a recognized Warmblood Registry not already Stud Book Entered with CWHBA: –

  • Fill out and submit the CWHBA – ‘Application for Pedigree Approval and Stud Book Entry’ Form with appropriate fee for initial entry.
  • Attach a copy of the mare’s Registration Certificate (both sides) showing approval status or inspection results and proof of ownership.
  • Attach a copy of DNA profile from BV Labs (formerly Maxxam Analytics), or Profile number if already done; or, request of our office to contact another Registry for an existing DNA profile
  • If no DNA profile is available, attach DNA Test Kit Application and fee with hair sample
  • if leased, include appropriate documentation – Lease Agreement.
  • Mail to CWHBA Registrar at CLRC

2.b) For mares not previously inspected – CWHBA Registered mare, or other Warmblood mare, TB/Arabian/AngloArabian mare to be presented for inspection: –

  • Apply to National Office or your Provincial Chapter for ‘Application for Inspection & Stud Book Entry’
  • Attach a copy of DNA profile from BV Labs (formerly Maxxam Analytics), or Profile number if already done; or, request for our office to contact another Registry for an existing DNA profile 
  • If no DNA profile available from BV Labs (formerly Maxxam Analytics), attach DNA Test Kit Application and fee with hair sample
  • Present your open mare, or in her first year of breeding, or with foal at foot, for inspection. She will automatically be entered into the appropriate level of Book depending on her eligibility and qualifying inspection score/s
  • For CWHBA registered mares, original papers must be returned for upgrading 
  • for all other mares, attach a copy of the mare’s Registration Certificate (both sides) showing proof of ownership
  • Warmblood Mares for breeding 1995 and thereafter, two years old in that year, will have to be inspected for Stud Book entry in order to register her foal in the General Stud Book. 
  • Foals out of non-inspected mares will be registered in the Auxiliary Book until the mare is inspected.
  • Inspection fee includes initial Stud Book entry for the first breeding season. 
  • if leased, include appropriate documentation.

2.c) CWHBA Registered mare, or other Warmblood mare, TB/Arabian/AngloArabian mare NOT previously inspected: – if for some reason you are not able to present your mare for inspection in the first year of breeding or foaling and wish to register her warmblood foal: –

  • Fill out and submit the CWHBA – ‘Application for Pedigree Approval and Stud Book Entry’ form with appropriate fee.
  • Attach a copy of DNA profile from BV Labs (formerly Maxxam Analytics) with Profile number if already done; or, request for our office to contact another Registry for an existing DNA profile 
  • If no DNA profile available from BV Labs (formerly Maxxam Analytics), attach DNA Test Kit Application and fee with hair sample 
  • For CWHBA registered mares – include her registration number – you do not need to include a copy of her papers. 
  • For all other warmblood mares, attach a copy of the mare’s Registration Certificate (both sides) showing proof of ownership. 
  • Mare Entry fee includes initial Stud Book entry for the first breeding season.
  • if leased, include appropriate documentation.
  • Mail to CWHBA Registrar at CLRC
  • Please note that an uninspected mare will revert to A Book status until such time as she is presented for inspection. 

2.d) Unregistered mare: – must be entered in the Stud Book or presented for inspection and have DNA on file in order to register her foals, however, only verifiable pedigree can be included on the registration certificate of her progeny.  Mare/s with verifiable pedigree, with known Warmblood content may be eligible for registration as well as Stud Book Entry… please inquire.

  • Apply to National Office or your Provincial Chapter for ‘Application for Inspection & Stud Book Entry’ if you plan to present the mare for inspection.
  • Attach a copy of DNA profile from BV Labs (formerly Maxxam Analytics) with Profile number if already done; or, request for our office to contact another Registry for an existing DNA profile 
  • If no DNA profile available from BV Labs (formerly Maxxam Analytics), attach DNA Test Kit Application and fee with hair sample 
  • Complete known / verifiable pedigree on the form; mares in this category without some proof of known pedigree will be entered as a grade mare and placed into the Auxiliary Book.
  • Inspect: Present your mare, or in her first year of breeding, or with foal at foot, for inspection. Inspection fee includes initial Stud Book entry for the first breeding season .…. OR
  • Enter: with appropriate fee. Mare Entry fee includes initial Stud Book entry for the first breeding season. 
  • if leased, include appropriate documentation.

STUD BOOK REGULATIONS: 
Effective 2006: A DNA Profile is required for every mare to be Stud Book Entered:
Effective 2019: A DNA Profile will be required for previously Stud Book Entered mares in order to DNA parentage verify her foal. 

  • where Mare already has a DNA profile via BV Labs (formerly Maxxam Analytics), attach the case file number to the application, or
  • if DNA profile is from a foreign lab, attach a copy of the printed profile – a processing fee may be required to source and enter that profile
  • where DNA profile from a foreign lab or Registry is not available, provide the name of the Association and we will endeavour to source the profile – a processing fee will be required.
  • where no DNA profile is available or has never been done, attach DNA Test Kit Application and fee with hair sample (25+ mane hairs with root attached).
  • NOTE: all DNA profiles from our past provider, GenServe, have been transferred to BV Labs (formerly Maxxam Analytics)

Register your foal?

1. You must be a current CWHBA member.

2. Ensure that the foal’s dam is Entered in the Stud Book (see above) including her DNA profile.

3. Make sure that the stallion owner or Veterinarian has signed the CWHBA Breeding Certificate. Be sure to keep a copy for your records. If the stallion you are using IS NOT entered in the CWHBA Stud Book, it is still your responsibility to attach a signed Breeding Certificate to the Registration Application and include stallion information. For Entered and Activated stallions where a breeding Report is filed, the Breeding Certificate is not required.

4. Fill in date of birth, and other pertinent information on the CWHBA Registration Form.

5. You may have a CWHBA approved Foal Identifier, your Veterinarian, or yourself, fill out the Identification of Markings on the back side of the Registration Form, preferrably while foal is at the side of the mare. Whomever completes the markings page must sign and date the form. 

6. A hair sample for DNA Profiling and parentage verification MUST be submitted at the time of registration for DNA Profiling and Parentage Verification regardless of age of animal to be registered. Mature Age registrations require parentage verification to both dam and sire.

7. Enclose appropriate registration Fee (Fees differ for foal within 12 months from foaling date; for after 12 months from foaling date and or for foal by non-entered, non-approved stallion).

Note: Warmblood Mares for breeding 1995 and thereafter, two years or older in that year, must be inspected for Stud Book entry in order to register her foal in the General Stud Book. Non-inspected mares will be entered in the Auxiliary Book until the mare is inspected, and will incur an annual Mare Entry Fee for subsequent foal registrations. Mare Inspection fee includes initial Stud Book entry for the first breeding season.

*** A DNA Profile is mandatory for all foals to be registered, regardless of age of registration, except as listed below: Download and complete the DNA Application Form and submit with hair sample and fee with the Application for Registration.Please remember to check the box for Warmblood Fragile Foal Syndrome (WFFS) if that test is required.


The following is information for situations where is might be desirable to register an aged or even deceased animal/s in order to increase the levels of approved pedigree in a descendant.  This does not apply to animals born 1998 or later:

Register 1994 to 1997 foals?

1. You must be a current CWHBA member.

2. Ensure that the foal’s dam is entered in the Stud Book (see above.)

3. Make sure that the stallion owner or Veterinarian has signed the CWHBA Breeding Certificate. Be sure to keep a copy for your records. If the stallion you are using IS NOT entered in the CWHBA Stud Book, it is still your responsibility to attach a signed Breeding Certificate to the Registration Application and include stallion information (copy of registration papers, approvals, etc for non-entered/non-approved stallions).

4. Fill in date of birth, and other pertinent information on the CWHBA Registration Form.

5. Have an Association Approved Foal Identifier or your Veterinarian complete the marking section of the Registration Application OR, for pre-1997 horses only, you may attach four pictures that clearly show all marking on the foal (front, sides and back) & with the dam in at least one of the pictures, OR, provide DNA proof of parentage.

6. Enclose appropriate registration fee for foals sired by CWHBA entered stallions or for non-entered/non-approved stallions…. check Fee Schedule.

Register my pre-1994 horse?

1. You must be a current CWHBA member.

2. Fill out the CWHBA – Application for Registration form.

3. You must ensure that you attach a Breeding Certificate or DNA proof of parentage.

4. Have an Association approved Foal Identifier or your Veterinarian complete the markings section of the Registration Application OR, for pre-1994 horses only, attach four photographs that clearly show all marking on the horse (front, sides and back).

5. If the stallion is not entered in the CWHBA Stud Book, attach a copy of his Registration Certificate (both sides) showing any Approval Status or Inspection results.

6. If the mare is not entered in the CWHBA Stud Book attach a copy of her registration certificate (both sides) showing any Approval Status or Inspection results.

7. Enclose appropriate registration fee + GST.

8. Mail to CWHBA Registrar at C
